Executive Assistant to CEO

Exciting opportunity to become a trusted partner providing direct support to Nexthink’s co-founder/CEO, Pedro Bados in our mission to change the digital experience of millions of employees and best companies around the world.

This important role enables the executive team to work most optimally with internal and external partners and fulfill commitments.  With offices and executives across the globe, Nexthink offers a dynamic and highly collaborative environment.  We're looking for a self-starter with excellent organizational skills, impressive follow-through, and time management skills, with the utmost attention to detail. What will your day-to-day look like?

  • Maintain an accurate and detailed calendar for the CEO, manage incoming scheduling requests, proactively communicate changes to team, as well as anticipate and respond to scheduling and travel conflicts, rescheduling as needed
  • Plans and executes logistical details for group onsite and virtual meetings in support of the CEO’s priorities including business reviews, planning and leadership, skill development, and investment relations.
  • Manage all board relations; schedules all committee and board meetings, prep meetings, and collects and distributes all materials to members
  • Manage and track travel arrangements and itineraries for professional and personal travel for the CEO
  • Organize and prioritize current needs, anticipate potential conflicts, and handle sensitive business information where confidentiality is paramount
  • Manage team budget, travel, and expenses; process all expenses and reimbursements; manage invoices and Purchase Orders
  • Attend team meetings and track action items, assist with day-to-day projects, help build and improve processes and systems where needed
  • Schedule, coordinate with internal and external stakeholders, prepare meeting agendas as needed, manage meeting minutes
  • Liaisons with legal counsels for proactively staying on top of important document expirations and renewals
  • Works cross functionally with HR to prepare materials for monthly Nexthink Lives and quarterly town halls on behalf of CEO
  • Operations-related projects and be proactive with evolving business needs.
  • Meets regularly with Executive to maintain alignment on business priorities, update on status of projects, plan key events, provide insight into time commitments across priority areas, review upcoming travel, and prioritize open action items
  • Coordinate media and speaking engagements through managing enquiries and invitations, liaising with PR & Marketing team to prioritize opportunities
  • Identifies opportunities for process improvement and recommends special projects and initiatives related to general business administration
  • Collaborates closely with peers to support executive team activities and enhance the value of the EA role across Nexthink
  • High level of interaction with all functions, C-level executives, and SVPs throughout the company

Qualifications

What experience do I bring to Nexthink?

  • Previous experience providing Executive Admin support at the C-suite level in a startup/ hyper-growth tech company
  • 5-7+ years of progressive executive administrative experience
  • Possess strong business judgment and communication skills needed to interact with a variety of people and job functions, internally and externally. Handles confidential information with the utmost discretion
  • Displays self-motivation, strong verbal/written communication, and analytical skills
  • Expert working with the Microsoft Office suite- Outlook, PowerPoint, Word, Excel
  • Experience with Travel & Expense tools, Netsuite, and other Project Management tools
  • Tech company experience strongly preferred
  • Preference for collaboration, including proven success working with others
  • Experience in drafting presentations, reports, and correspondence to a diverse audience
  • Operates with a high level of discretion and confidentiality with sensitive company information
  • This role requires a highly resourceful individual with strong integrity
  • Demonstrate poise and tact under pressure and handle matters with sound judgment and respect
  • Strong business acumen and interest in the success of Nexthink
  • Spanish/English preferred but not required- fluency in writing and speaking to support additional personal assistant responsibilities
