The Marketing team is responsible for all aspects of the Jellysmack brand image. From our bold visual identity to our memorable name, we make sure that the world views Jellysmack as a visionary tech-first company that is shaping the future of the creator ecosystem. On any given day, the marketing team will be overseeing website development for a new product, creating materials to help sign new creator partners, securing exclusive news stories with top publishing outlets, sponsoring an industry panel at a creator conference, shooting a new brand campaign, putting together media plans, organizing exciting milestone gifts for our partners, and engaging with our community on social (and that’s just before lunch). We work cross-functionally across the organization which means we get to communicate with teams from France in the morning, Australia in the evening, and everyone else in between. We’re a supportive and collaborative crew who works hard, gets things done fast, and holds ourselves to the highest standards, all while having fun along the way.

The Role

As the Associate of Marketing Operations at Jellysmack you’ll be responsible for assisting the VP of Global Brand Marketing and Chief Marketing Officer in ensuring that the entire Marketing department operates with excellence and efficiency. You will specifically oversee the global cross-functional marketing calendar taking input from all marketing functions, handle department scheduling, lead marketing vendor relations including legal and accounting compliance, and manage the department’s invoicing and budgeting system.

You will work cross-functionally within and outside of Marketing with key stakeholders of the organization. Key Marketing partners include Public Relations, Product Marketing, CRM Marketing, Event Marketing and Regional Marketing Managers worldwide. Outside of the immediate department you will also ensure clear communication and implement efficient processes with the department’s key partners including Legal, Finance, Creator Partnerships, Creator Success, Performance Marketing, Human Relations, and IT. You’ll be tasked with fostering strong relationships across the organization to steward marketing programs and projects through completion.

The Associate, Marketing Operations will be responsible for helping to drive cross-functional communication, transparency, organizational efficiency and the implementation of highly effective new processes and protocols for the Marketing function worldwide.

Core responsibilities include:

  • Department Scheduling - you own the global cross-functional marketing calendar and ensure timely meetings are set with key stakeholders; adjusting schedules as necessary to ensure regular, recurring communication.
  • Develop and maintain file management systems and tools
  • Balance the budget & manage the checkbook in partnership with the VP of Brand Marketing; ensure all invoices are reviewed, approved and paid in a timely manner.
  • Traffic creative with external vendors and internal partners to ensure copy and imagery are developed to spec and on-time.
  • Coordinate all department gatherings and offsites; support cross-functional departments in the same.
  • Build onboarding processes for new Marketing hires and ensure each employee is set up for success at the outset.
  • Develop and manage agendas for key marketing meetings and ensure all marketing leads have contributed in a timely manner.
  • Note-taking and Dissemination - ensure relevant notes are captured from all key meetings and that action items are assigned to and followed-up on with the right stakeholders.
  • Deadline Management - Ensure the larger marketing team and other contributors deliver on project deadlines.
  • Perform other marketing-related duties as assigned.

The Qualifications

The right person for this role has demonstrated consistent experience working in large global brands for senior leaders and implementing scheduling processes and other organizational systems to ensure communication and efficiency.

  • Bachelor’s degree
  • Minimum of 2 years experience, with relevant experience in executive support, customer service, or other operational roles.
  • Strong organizational skills with the ability to collect, analyze and disseminate information.
  • Highly proficient in Google Suite.
  • Exceptional attention to detail and accuracy.
  • Experienced in navigating cross-functional relationships within and outside an organization at the senior-most levels.
  • Exceptional communication and organizational skills and is able to work with internal departments to realize their objectives.
  • Strong ability to prioritize, identify problems, devise solutions, disseminate information to relevant stakeholders, and bring about timely resolution.
  • Able to cope with job pressure and ambiguity, and comfortable operating against rigorous deadlines and with senior partners in an organization.
  • Must be an analytical and creative thinker, organized and eager to learn and implement new processes.
  • Enjoys and thrives in a dynamic, fast-paced, and entrepreneurial work environment.
  • Has exceptional team and interpersonal skills.
  • Has strong multi-tasking skills.
